All vendors are required to register and pre pay a table deposit to guarantee their tables at any event by contacting Gettysburg Reptile Expo, LLC using the information found on the CONTACT page.
Tables are 8 foot and are available at a rate of $50.00 each. Table fee includes electric, WiFi, chair and lunch voucher. Venue is climate controlled
Vouchers will be handed out at morning registration as follows:
1-2 tables = 1 voucher
3-4 tables = 2 vouchers
5-8 tables = 4 vouchers
We use these vouchers to plan lunch accordingly, extra vouchers WILL NOT be available. Vendors along with vendors family, help and patrons will have access to purchase breakfast and lunch throughout the day at the venue cafeteria.
PLEASE NOTE, we have a full team of VOLUNTEER STAFF that are here to support and assist you in making your vendor experience more enjoyable. They are tasked with many duties such as set-up and break down, customer service, security, serving lunch, trash detail etc. If you are in need of something, please feel free to ask one of our volunteers and they will be glad to help you or direct you to someone who can. We ask that you please REMEMBER that they are VOLUNTEERS and have taken their time to help, please be polite
Vendors will have access to the venue on Friday , the day before each show from Noon – 6:00 pm. , at which time the venue will be cleared and all doors locked and secured.
Vendors will then have access on the morning day of show from 6:00 am – 9:00 am for set up with doors opening to the public promptly at 9:00 am. Show runs from 9 -4.
Vendor Bands: Bands will be given upon registration as follows:
1 table = 1 Band
2-4 tables = 2 Bands
5-8 tables = 4 Bands
Children under 6 years of age are free. If ADDITIONAL bands are needed please find one of our staff members and they will direct you accordingly.
Vendors are expected to be packed up, have their spaces reasonably clean with NO trash, animals or materials left behind and out of the venue no later then 6:00 pm. The venue provides trash cans and an exterior dumpster. NO CARDBOARD is to be put in dumpster, ALL CARDBOARD IS TO BE BROKEN DOWN AND STACKED ON THE GROUND TO THE LEFT OF THE DUMPSTER
While we do understand that things come up and emergencies do happen, we kindly ask that that if you must cancel that you contact us 3 weeks prior to the show date. Cancellations outside of the 3 week period will automatically have their deposits forwarded to the next event.
Cancellations within the 3 week period will result in any deposit/payments being forfeited, unless prior approval is given by Gettysburg Reptile Expo LLC.
Each vendor is expected to have their set up look as professional as possible. All tables must have tablecloths.
All animals must be outwardly healthy and exhibited in secure containers and displays. Gettysburg Reptile Expo LLC event staff will be checking throughout the day. In the event an animal is found to be unhealthy, you may be asked to remove said animal from your table.
All venomous animals must be securely displayed and clearly marked venomous and red taped for customers safety. AT NO POINT, is any venomous species to be out of its display for any purpose. NO EXCEPTIONS
NO SALES of venomous to MINORS.
ALL SOLD VENOMOUS SPECIES MUST REMAIN WITH THE VENDOR, until BUYER is ready to leave and exit the event. At this time VENDOR will contact a volunteer member who will have SECURITY escort BUYER to the event exit.
ALL ANIMALS MUST BE LEGAL TO SELL IN THE STATE OF PA. It is up to the VENDOR to know all applicable state laws regarding native species and the sale of legal species.
